MEET RULES AND INFORMATION
GENERAL
- The Competition is a Level 3 licensed meet, held under Swim England Laws & Regulations & Swim England Technical Rules of Racing and Swim England Open Meet Licensing Criteria.
- All entrants must be category 2 Swim England members only and National Associations of FINA.
- The pool length is 25 metres, 8 lanes, with Omega electronic timing. The depth of the shallow end is 1 metre. A secondary strobe for the starting system is not available.
- It is the responsibility of all clubs and coaches to ensure that swimmers are competent to the standard of the Swim England Competitive Start Award. Swimmers that do not have a competitive start in line with Swim England will start in the water, as the starting end is only 1.0m. Swimmers may start in the water but must inform the referee before the start of the race.
ENTRIES
- All entries are £4.50 per event. An administration fee will be charged at £5.00 per swimmer for late entries.
- Applications for entry, the team summary sheet and payment must be received by the published closing date.
Entries should preferably be made electronically by a Hytek file which can be emailed or downloaded from the website. Where there are more than 6 competitors from a club, entries must be submitted with a summary form and a BACS payment to the Club. BACS payments to: TeamIpswich Swimming, Sort Code 08-92-99, Account 65758384, Reference OCT21 “CLUB CODE / SWIMMER NAME”. Please forward BACS confirmation with the entry form. Where hard copies of entry forms need to be used these shall be the official entry forms submitted by post or email. A cheque or BACS payment must be submitted to the Club by the published closing date. - It is the swimmers /parent or guardian's responsibility to ensure the name used for entry into the meet is as registered with the Swim England.
- Swimmers in possession of a Swim England Certificate of Swimming Disability or whose Swim England membership record details a disability sport class and compete within the Swim England East Region are welcome to enter the competition with a time slower than the lower limit standard. An entry time must be provided.
- Entry is initially first come first served. However, to comply with licenced meet timings we may still have to reduce the entries to individual events. Initially the 400m events will be limited to a maximum of 4 heats. Full reimbursement of fees shall be made in respect of these events.
- Lists of accepted entries and rejected entries for each club will be sent via email to 1 nominated contact only not less than 2 weeks prior to the event. For individual entries, a full list of accepted entries will be available on the club website. Entrants / clubs will have one week to advise errors or omissions to the promoter.
- Coaches’ passes should be ordered on the relevant forms, enclosed with the Club entry pack. A maximum of three team managers/coaches passes per club will be allocated to permit access to poolside, further managers/coaches passes will only be made available to allow clubs to comply with licensing guideline
- Stewards will request pass-holders to assist in the supervision of warm-ups.
- Submitted times should be those achieved in a 25m pool (or converted from 50m times using the SPORTSYSTEMS Equivalent Time Converter, available from www.swimmingresults.org).
AGE GROUPS
- Age groups are based on the swimmer’s age on the 31st October 2021.
- The age groups are 9 years, 10 years, 11 years, 12 years, 13 years, 14 years, 15 years, and, 16 years and over.
THE COMPETITION
- All competitors must indicate on sign in sheets that they intend to swim entered events prior to the start of the warm-up session.
- Swimmers must report to the Competitors’ Stewards when instructed to do so by the announcer. Any competitor not reporting in time may be excluded.
- Each event will incorporate all age groups. Age group winners will be on a timed final basis.
- Heats will be seeded with fastest entrants swimming last. All heats will be spearheaded. The promoter reserves the right to modify the seeding arrangements should conditions demand.
- Over the top starts will be used at the referee’s discretion.
- Time trials for swimmers faster than the entry times will be accepted if space is available or if available on the day. Time trial swimmers will not be eligible for awards.
- There will be awards for the top three boys/girls in each stroke in each age group.
ADDITIONAL INFORMATION
- Teamipswich Swimming accepts no responsibility for loss or damage to personal property and requests that all persons remove their belongings if they leave the premises at any time. Any lost property not claimed from the announcer at the end of the competition will be handed to Crown Pool Management for collection by the owner.
- In accordance with the Swim England Child Safeguarding policies and procedures, any parents or carers of swimmers under the age of 18 who wish to take photographic or video images are requested to focus on their own child as much as possible and to avoid including other children in those images, particularly if those images are being shared with family and friends through social media platforms. Should you have any concerns about photography or filming at this event then please bring them to the attention of the promoter. This rule applies to the use of mobile phones, tablets or image capturing devices as well as cameras.
- Competitors must be suitably dressed and with the appropriate footwear whilst on poolside. No exterior footwear is allowed on poolside unless exclusively used for the purpose of poolside shoes. Swimmers are not allowed elsewhere in the building or in the spectator area with wet swimwear.
- The Data Protection Act 2018 requires us to provide you with certain information and to obtain your consent before processing data about you. Processing includes: obtaining, recording, holding, disclosing, destruction or retaining information. We require certain personal data for the purposes of making entries to the competition, managing the meet and the submission of results to Rankings. The information provided by you will be processed in accordance with the Data Protection Act 2018. Consent to process such personal data is deemed to have been given by the submission of the entry. Where the personal data of competitors, officials and coaches/team managers has been passed to us by a third party such as a club rather than by the individuals themselves, we rely on the third party to ensure that consent has been obtained.
- Officials and competitors are asked to familiarise themselves with the location of all emergency exits and must abide by any rules laid down by the venue management.
- Coaches or Team Managers are responsible for the swimmers’ conduct at all times.
- By submitting an entry, competitors and coaches are agreeing to be bound by these rules.
- The promoters reserve the right to refuse admission to any person.
- Results will be available on the Club website at teamipswichswimming.org as soon as possible after the meet and will be supplied to British Swimming for entry into the national ranking database.
- Any matter not covered by these conditions will be determined by the Promoter and Referee, subject to Swim England Laws, Regulations and the Swim England Technical Rules of Racing.
Competition Guidelines – Crown Pools, Ipswich
The following guidance has been put in place for Swim England Suffolk and all Suffolk affiliated swim clubs running competitions at Crown Pools from 1st September 2021.
What to do before the meet:
- As a precautionary safety measure, all athletes, volunteers, officials and team personnel are strongly advised to complete a Lateral Flow Test (LFT) on Friday before weekend of competition. They should remain at home if the test is positive
- No person should attend the meet if they are feeling in any way unwell. There will be other opportunities.
- Ensure that each swimmer has a see-through plastic bag in which to carry their race essentials. Swimmers will only be able to carry their normal kit bag onto poolside during warm-ups
- Ensure that swimmers have appropriate poolside shoes, a towel, and clothing to wear over their costume prior to racing
- Please do not arrive to the venue excessively early
- Bring a supply of masks/face coverings. As a precaution, we will be insisting that everyone at the meet, including swimmers, wear masks inside the facility, except when they are swimming or where they are medically exempt
- Swimmers should arrive ‘beach ready’ with their costume on under some light clothing. Those travelling long distances will be allowed to change quickly in the changing rooms, but this may impact the amount of water time they get
- Swimmers should leave the venue when their racing is done for the day unless they are required for presentation. Swimmers may use the changing rooms before going home
- Only designated meet personnel are allowed in the competition venue
- Team personnel need to print their accreditation prior to arrival – please do not arrive without it
Withdrawals
Withdrawals should be notified to This email address is being protected from spambots. You need JavaScript enabled to view it. before Friday at 6pm the day before the meet is due to take place. After 6pm each day the seeding for the weekend’s events will be done and start lists will be published on the website results page.
Subsequent withdrawals must be verbally notified on the day to the Promoter for the relevant event to avoid holding up the competition whilst we look for “missing” swimmers. Heats will be swum with empty lanes.
Entry to Pool
All personnel will enter the pool through the fire exit at the deep end of the pool – please see diagram below for further details.
Club Designated Areas
All clubs will be designated an area around the pool for coaches, team managers and swimmers – they must wait in this area throughout the competition.
Wherever possible, alternate seats should only be used. Everyone will be expected to always wear a face mask unless racing or medically exempt.
Marshalling
Swimmers do not need to report to any marshalling area. It will be the responsibility of club personnel to ensure that swimmers are ready for the start of their race.
Please note that swimmers should not arrive at the start end no more than 3 races before theirs is due to start.
One Marshall will check swimmers are lined up in the correct lane.
Poolside will operate in an anti-clockwise direction so swimmers should follow this when moving to and from the start end of the pool.
No Spectators
No spectators will be allowed into the building for these competitions.
We appreciate that it will be disappointing for family members not to be able to spectate but our primary aim at this stage is to give the swimmers the opportunity to compete once more and work within the restrictions in place for using the facility.
Live streaming of the competition will take place wherever possible.
Exit from Pool
All personnel will leave the pool through via the fire exit halfway down the pool on corridor behind pool seating – please see diagram below for further details.
